What is Fulfillment by Lazada (FBL)

FBL stands for fulfillment by Lazada.  It is Lazada’s in house replenishment service.

Store the products in our warehouse and we will deliver them for you!

Take full advantage of our FBL service. You can focus on marketing and growing your business while Lazada takes care of the fulfillment of your orders from A to Z. You need not worry about operations anymore!

Fulfillment services are strategic for Ecommerce. It provides better customer experience while leveraging ecommerce company
fulfilment network and expertise.

You are still owner of your products, responsible to upload products and content, and manage prices. While we will remind you to replenish the right quantities to our warehouse, process the orders and take care of 3PL delivery/returns.

All fees are before GST

  • 1 m3 = L (m) X B(m) X H (m) of your SKU
  • When your SKUs are inbounded, its volume will be measured by our warehouse inbounding agent and recorded in our warehouse systems
  • Total volume occupied by a particular SKU will be calculated at the end of the month along with the storage charges incurred
  • Selling price is the regular price at which your SKU is selling on the Lazada website
  • All prices are EXCLUSIVE of GST

To enjoy our FBL services you need to:


1. Have an active Seller Center account
2. Be live for more than a month
3. Have at least one SKU that sold more than 10 units in the last month

What should I do once Lazada confirmed that I am eligible for FBL?

You need to create a Fulfilment Order (FO) on Seller Center.

  1. Login to your Seller Center Account, click on the “Products” menu and select “Fulfillment by Lazada”.
  2. Select the tab “Send to Warehouse”.
  3. Choose “Create New Request” to create a FBL Fulfillment Order.
  4. You will arrive at a Fulfillment Order Request pop up window .
  5. Select the SKUs that you want to send to Lazada Fulfillment Center and specify the product quantity. Make sure you include all the SKUs you want to send us in one FO (do not create 1 FO per SKU).
  6. Select Delivery Type “Send to Lazada Warehouse”. Select the Arrival Date and Time of the stock to Lazada Fulfillment Center. Arrival date should be min. 3 days later.
  7. Click “Submit” to finish creating the Fulfilment Order Request. Don’t forget to click “Save Draft” regularly during the process.

What happen once I have sent my products at Lazada warehouse ?

  • Once your products reach Lazada's warehouse, they will be checked by Lazada's quality specialists, labelled and stored.
  • Incoming orders will automatically be fulfilled by Lazada warehouse team.
  • You will still be able to follow the orders made in Seller Center.

What should I do once there is an order under FBL shipment type?

Nothing, our warehouse takes care of it !

What should I do if there is a cancellation on a FBL order?

Nothing our warehouse takes care of canceled order.

If the customer cancel the order or if our 3PL tries to deliver the product, but cannot reach the customer (e.g. the address is not valid) or if our 3PL fails several times to deliver the product then:

Your product will be send back to Lazada’s fulfillment center, where it will be stored back and ready to be sold again.

What should I do if there is a return on a FBL order?

Nothing our warehouse takes care of returns order.

If a customer changes his/her mind and returns your good back to our warehouse (in accordance with the returns policy), our team will check the quality of the product and packaging:

1.If the return pass the quality check then it is ready to be sold again, so it will be stored back (unless you wish to receive it back)

2.If the product is damaged, it will be sent back to your WH.

You will receive an email when an item is being returned and in Seller Center, you can see the returned items when :

  • Click on “Orders” then “Manage Orders
  • Under "Completed" > “Returned

How can I stop using FBL services ?

You need to create a Return Order in Seller Center for all the goods that are still in Lazada warehouse and pick them up.

  1. Click on the “Products” menu and select “Fulfillment by Lazada
  2. Select the tab “Return from Warehouse
  3. Choose “Create New Request” to create a FBL Return Order
  4. You will arrive at a Return Order Request pop up window
  5. Select the products that you want to take back from Lazada Fulfillment Center and specify the product quantity
  6. Select Delivery Type as “Pickup by Seller”. Lazada do not provide stock return delivery services at the moment. Select the Pickup Date and Time of the stock from Lazada Fulfillment Center
  7. Click “Submit” to finish creating the Return Order Request. Don’t forget to click “Save Draft” regularly during the process
  8. Once submitted, please give Lazada Fulfillment Center 2-3 days to prepare your products for your pickup. Your Lazada point of contact will inform you on the pick-up date and time.

Note that processing your Return Order Request can be longer than 3 days depending on the quantities that you want to get back.

How to launch FBL portal?

Login to ASC > Click on Products > Select Fulfilment by Lazada

After clicking Fulfilment by Lazada, you will be directed to BMS home page.

Home Page – summary of Seller’s inbound order ( send to warehouse), outbound order (return from warehouse), customer order and FBL orders trend for the past 7 days.

You can filter the data based on the time metrics provided or customized the time range. Thereafter, click on Search to get the data.

 

Manage products – Seller can manage products attributes like barcode, adding new SKUs and product characteristics from this page.
Just click on each product Lazada SKU ID or Edit to make changes.

Manage Inventory – consists of Send to Warehouse and Return from Warehouse

*Send to Warehouse -  shows the product details sent by Seller to Lazada Warehouse
*Return from Warehouse – shows the product details sellers requested to retrieve from Warehouse

Analytics –  consists of Live Inventory and Sales Report

*Live Inventory - shows each SKUs condition ie : Sellable, Defective or Frozen/Lock (product sold and going through picking/packing process)
 
*Sales Report – shows all order details including date, number of item and type of delivery.
 

Notification Centre - here you can see all the updates about your requests on the BMS portal.

You can receive 2 types of messages:

* Personal messageoutbound/inbound related message 

*Public message message published by admin

 Seller profile/ Account Authorization

 
*Seller Profile – Basic information cannot be edited
*Seller Warehouse Details – Existing address cannot be edited or deleted but Seller can add new address
*Account Authorization – Seller can activate or deactivate the email account to receive FBL related information

BMS: How to import SKUS?

1)Click on Import SKUFor existing FBL sellers, SKU with stocks will show up on the SKU overview page. You can directly click on Edit to make changes

2) Select Download to download the template and input Lazada SKU in the template.

3) Select Upload to upload the updated template with Lazada SKU

4) Select Submit to save the changes.

5) Seller can edit the SKUs details by clicking on Edit or Lazada SKU.

6) Edit the Product Details

*Basic information details -- SKU name, Seller SKU, Lazada SKU, existing Barcode cannot be edited.

*Seller can add more barcode or select for no barcode

*Manufacturer Package Dimensions --  all information here cannot be edited.

*Logistic Attributescan be edited if there is no physical stock in Warehouse

*Shelf life : shelf life length in days

*Expiry date (days): notification to sellers prior to product expiry date

*Offline before expiry date: number of days before product is expired and unsellable

*Reject at Inbound  before expiry dates (days): WH rejection of products prior to expiry date

 

7) Select Save after editing is done or Back to discard the changes.

 

BMS: How ro raise an inbound order (send to warehouse)?

1) Select Manage Inventory tab and click on Send to Warehouse. It will direct you to Send to Warehouse main page.

2) Input any of the Order details to search for Send to Warehouse Order (ie : Fulfilment Order Number, Created Time, Inbound WH or Delivery Type)

3) Click on Search.

Inbound Order Status Actions

*Seller can Edit details and Submit order for ‘Created’ Inbound status.

*For ‘Pending Approve’ status, Seller can cancel Inbound order.

*Cancelled by Seller & Reject by Admin status cannot be edited by Seller

*Approved, Cancelled by Admin, Request Accepted, Pick-up, Handover at Warehouse – Seller cannot do any editing for these status however Seller can print out the Inbound Order Receipt

*Partially received & Completely received allow Seller to export Inbound reconciliation report (Export Orders)

 

BMS:How to send products to warehouse?

1) Select Manage Inventory tab and click on Send to Warehouse

2)Click on Create New.

3) Fill- up the Send to Warehouse Order details

*Inbound Warehouse DetailsSeller can select for multiple warehouses in the country

*Contact InformationSeller to input contact details

*Seller Warehouse DetailsFor Lazada Pickup option, input Seller Warehouse address

Delivery type

*Lazada Pickup – Lazada picks items from Seller Warehouse

*Dropoff – Seller drops off items at Lazada Warehouse

For Dropoff option, Seller has to provide Estimated arrival time at Lazada Warehouse

 

4) Under the SKU Details option, select Add SKU to add SKUs to be sent to Warehouse.

 

Search for the SKUs to inbound:

1)Input the Seller SKU, SKU name or Lazada SKU to search.

2)Select the SKUs by selecting the box. After that, click on the arrow to move SKUs to the right column. These are the list of SKUs to be processed.

3)Input the Quantity

4)Select Confirm to submit order

Note : Select Remove to delete SKU from the column. Each Inbound order can only have maximum 50 rows of SKUs.

 5) Seller can go back to the ‘Send to Warehouse’ Main page, select  ‘Fulfilment Order No’ to view the ‘Inbound Order Details

*Once order is submitted, Seller cannot edit the details.

 

 

BMS:How to raise an outbound order (return from warehouse)?

1) Select Manage Inventory tab and click on Return from Warehouse. It will direct you to Return from Warehouse Main Page.

2) Input any of the Order details to search for Return from Warehouse Order (ie : Fulfilment Order Number, Created Time, Outbound Time or Outbound Warehouse)

3) Click on ‘Search’

Return from Warehouse Status Actions:

*Created -- Seller can Edit details and Submit order

*Pending Approve -- seller can Cancel Outbound order

Cancelled by Seller, Reject by Admin, Approved, Cancelled by Admin, Request Accepted, Reject by Warehouse, Partially Outbounded, Completely Outboundedno action can be done by Seller after SKUs reaching these status.

 

How to create return from warehouse?

1) Select Manage Inventory tab and click on Return from Warehouse.

2) Click on ‘Create New.

 

3) Fill- up the Return from Warehouse Order details.

*Outbound Warehouse Details Seller can select for multiple warehouses in the country.

*Seller Contact InformationSeller to input contact details.

*Seller Warehouse DetailsFor Lazada drop off option, input Seller Warehouse address.

Delivery type

*Seller pick up – Seller picks up item from Lazada Warehouse.

*Lazada Drop off – Lazada sends item back to Seller Warehouse.

 

 

4) Under the SKU Details option, select Add SKU to add the SKUs.

Search for the SKUs to outbound

1) Input the Lazada SKU, SKU name or Stock Type to search.

2)After selecting the SKUs, click on the arrow to move SKUs to the right column. These are the list of SKUs to be processed.

3)Input the Quantity to Outbound. Quantity cannot be larger than Stock Quantity or order cannot be confirmed.

4)Select Confirm to submit order.

 

5) Seller can go back to Return from Warehouse main page, select on the Fulfilment Order No to view Outbound order details. Once order has been submitted, Seller cannot edit the details.

 

 

BMS: Analytics (Live inventory & Sales Report)

Live Inventory 

Select ‘Analytics’ > ‘Live Inventory’ > Input the Lazada SKU, Seller SKU, SKU Name or Warehouse and click on ‘Search’.

Live Inventory Report gives an overview of stocks level and condition.

Live Inventory Status Definition:

1)Sellable – stocks that are in good condition and can be sold.

2)Unsellable stock – defective stocks and cannot be sold.

3)Reserved  – stocks that have been allocated ie: order allocation, intra warehouse transfer.

 

Sales Report

Select Analytics > Sales Report > Input the Order details ( ie: Customer Order No, Delivery Type, Order Date or Delivery Status) and click on Search.

Sales Report shows the order status details of each product.

 Sales Report Status Definition:

1)Pending – order undergoing Picking and  Packing process.

2)Ready to Ship order has gone through picking and packing process and ready to be shipped.

3)Shipped --  order that has been shipped out.

4) Completed –  includes status like Delivered & Delivery Failed.

    Delivered   order received by customer.

    Delivery Failed – order is undelivered and returned to Warehouse.

 

BMS: Definitions

BMS name suggestion

  • Sellable = Sellable (Items that are ready to be allocated to an order and be fulfilled)
  • Sellable lock = Items in good condition that are already allocated to an order to be fulfilled but not shipped yet, or items in sellable condition that are allocated to WH transfers, zone movement)
  • Defective = Items that are not in a sellable condition at the warehouse (Expired, damaged from WH stock or handling, Failed delivery damaged, Inbound damaged)
  • Defective lock = Stock allocated for RTS.
  • Frozen = Pending inbound for purchase orders.

What should I bring along with my goods to the Lazada warehouse ?

 

  • A Fulfilment Order (seller can self-print from BMS)
  • A Delivery Order (example – should include the below information)*

 Inbound process

Indication on pallet / carton 

Lazada Pallet Label Template should have the following information:

  • LAZADA SELLER: SG-Bose
  • FULFILLMENT ORDER: IO123456789123456789123
  • NUMBER OF PALLETS: 1 / 4 (1 out of 4)
  • NUMBER OF CARTONS: 5 CTNS.

 

 

Each master carton should indicate the Product Name, Manufacturer Barcode, or Lazada SKU

The packaging on each product should indicate the Product Name, Manufacturer Barcode, or Lazada SKU

Lazada may on occasion paste a barcode sticker on your product. If you do not want this, please input the mamanufacturer barcode information in BMS.

How should the goods arrive at the Warehouse?

(1) Package should be sealed and in good condition

Every unit of the product should be packed separately in secure packaging

 

(2) Product Bundling

  • Bundled SKUs should arrive properly bundled and packed
  • We reserve the right to reject the delivery if they are not properly bundles
  • If Lazada chooses to accept the delivery we will levy an additional bundling fee.

e.g. Bundle of 4 pairs of socks

 (3) No price tags should be pasted on the product packaging

 

 

(4) No plastic bags for hard products.

  • No hard product should be packed in plastic bag
  • Hard products must be packed in a box

 

 (5) Specific examples

  • Footwear, regardless of material, must be packaged either in labelled shoe boxes or bagged in sealed and transparent polybags.
  • Fashion items must be bagged in sealed and transparent polybag.

What would be the reasons for rejection during the inbound process?

  • Broken Products
  • Bad Packaging / External Damage
  • Crushed boxes
  • Scuffed or Marred
  • Boxes with holes
  • Dirty / Greasy / Dusty
  • Water Damage
  • Opened Product (Manufacturer quality seal that is broken)
  • Stickers from other vendors
  • Non-Lazada price tags

Delivery and Inbounding rules

 

Delivery rules

  • Delivery must be accompanied by Fulfillment Order (FO) and Delivery Order (DO)
  • Indication on Pallet with a Pallet Label containing FO, Pallet # and carton #
  • Delivery must be made within the allotted time slot (as confirmed by the FBL team)

 

 Inbounding rules

  • Package should be sealed and in good condition
  • Perishables must have at least six (6) months shelf-life on date of delivery
  • Each master carton should indicate the Product Name, Manufacturer Barcode, or Lazada SKU
  • The packaging on each product should indicate the Product Name, Manufacturer Barcode, or Lazada SKU
  • Bundled items should arrive properly bundled and packed
  • No price tags should be pasted on the product packaging
  • No hard product should be packed in a plastic bag - they should come in proper boxes
  • Footwear, regardless of material, must be packaged either in labelled shoe boxes or bagged in sealed and transparent polybags
  • Apparel must be bagged in sealed and transparent polybags
  • Luggage should be pack in a proper box to avoid any damage

 

Important: Failure to comply with the above rules will result in a rejection of the delivery.
